For volunteer Fire & EMS

Record-keeping built for how your department runs.

ToneLogger logs activities and incidents, tracks who responded, and turns it into the reports your department actually needs — from any phone, the station computer, or the iPad on the truck.

What it does

Track what your department does — and manage who does it.

Two sides of the same record: every call, hour, and apparatus on one side — every applicant, member, and credential on the other.

Activity tracking

Capture the work

Activity logging

Log a call in seconds

Capture incidents, training, and station details with the fields that matter to Fire and EMS — categories, apparatus, and incident specifics — without wrestling a spreadsheet.

  • Fire, EMS, training, and station-detail categories
  • Log from your phone or the station computer
  • Dispatch details and incident numbers stay attached

Participation

Know exactly who showed up

Every activity records the members who responded and the apparatus they rode — so attendance, points, and credit are accurate without anyone reconstructing the night from memory.

  • Per-member participation on every call
  • Crew check-in at the scene
  • Mutual-aid given and received is tracked

Reporting

Reports that write themselves

Week, month, and year-to-date rollups are always current. Pull per-member participation for any date range and export to CSV for the annual report or the township.

  • Live week / month / year-to-date stats
  • Per-member participation over any range
  • CSV export for officers and boards

NERIS reporting

NERIS-ready, straight from the call

NERIS is the federal NFIRS replacement. ToneLogger turns each call you log into a NERIS report — pre-filled from the dispatch, times, location, and responding apparatus — and checks it against NERIS before you submit.

  • Pre-filled from the call you already logged
  • Validated against NERIS, with any issues flagged inline
  • Your stations + apparatus registered as NERIS units
  • Submitted as a pending report your department approves in NERIS
NERIS V1 Data Exchange Compatible certification seal

Certified NERIS V1 Data Exchange Compatible
ToneLogger passed federal NERIS integration certification.

Shared apparatus

The truck gets its own login

Mount an iPad on the apparatus and sign it in as the truck itself with a one-time QR code — log calls and check in crew at the scene, with no personal account and no member contact details on a shared device.

  • Passwordless QR enrollment by an officer
  • Log calls and check in crew from the rig
  • No member PII on the shared device

Availability

See who can respond before the tones drop

Members set their own status — on duty, available, delayed, or unavailable, with an optional return time — and officers can set it for them. Apparatus show in or out of service. It all lands on one board and a dashboard widget, so the whole department knows who and what is ready to roll.

  • Per-department member status with an optional return time
  • Apparatus in / out of service, set by officers or the truck itself
  • Color and icon together — an at-a-glance, colorblind-friendly read

Live response

See who's rolling, and when they'll arrive

When the tones drop, members tap how they’re responding — to the scene, to a station, delayed, or not — and share their live location so the whole department sees who’s en route and their drive-time ETA on a live map. Put it on a station TV for the whole room to see.

  • One-tap respond, straight from the dispatch notification
  • Live location while responding — department-only, only while en route, auto-stops on arrival
  • Drive-time ETAs on a live map, on the web and a wall-mounted station board

Member management

Recruit, onboard, and run your roster

Officer tools

Run your roster

Officers manage members, roles, apparatus, and the categories your department uses — all in one place, with permissions that keep sensitive contact details to the people who need them.

  • Member roster with roles and contact info
  • Apparatus, categories, and dispatch options you control
  • Invite by email or a department code

Member applications

Recruit and onboard online

Retire the paper membership packet. Prospective volunteers apply from any device — education, prior experience, references, and the background-check questions — and sign electronically. Their submission lands in your join-request queue, stored on file for vetting.

  • A clean online application instead of a printed PDF
  • Electronic signature, captured with a tamper-evident record
  • Sensitive items like SSN are collected by your onboarding coordinator, not the form

Member onboarding

From accepted to active, tracked

Accepting an applicant starts your onboarding checklist — physicals, background checks, gear, credentials, paperwork. Each task is owned by the member or a specific officer and signed off by an admin, so nobody rides before they’re cleared.

  • A checklist you configure — physical, background check, gear, credentials
  • Each task owned by the member or a specific officer, verified by an admin
  • New members see only their checklist until they're fully onboarded

Form builder

Chiefs control every field

The application is yours to shape — no developer needed. Reorder, rename, show or hide sections and fields, mark what’s required, set field widths, and add your own questions. Applicants always see your current form; submitted applications keep an exact copy.

  • Drag-free reorder, show/hide, and required toggles
  • Add custom fields, choices, and repeating tables
  • Review, approve, and print any application for the file

Anywhere your members are

iPhone, iPad, Android, and the web.

The same record-keeping on every device — pocket on a call, the station computer for reports, the iPad on the truck.
