Can we try ToneLogger before we pay?
Yes — every paid plan starts with a free trial, for a department of any size. Set up your department, add your members, and try it with real activity. When you're ready to keep us long-term, reach out and we'll set up billing and your dispatch integration. No card up front — and the smallest departments can stay on the free Volunteer Starter for as long as they like.
Do you charge per user?
No — there are no per-seat fees. Every plan covers your whole roster up to its member limit, so adding members never costs extra. You only move up a plan when your department outgrows the limit.
What's the difference between the free plan and the paid plans?
The free Volunteer Starter covers the essentials — logging, roster, participation, and reports — for the smallest departments. Paid plans add automated dispatch ingestion (calls flow in from your dispatch system on their own), NERIS incident reporting (the federal NFIRS replacement), plus everything else, and they scale with your usage. Every paid plan has identical capabilities; only the size limits change.
How do the two limits work together?
Your plan is set by whichever limit you reach first — members or annual incidents. A 40-member department running 600 calls a year lands on the plan that covers 600 incidents, even though its roster fits a smaller one. Pick the plan that covers both.
What counts as an incident?
Incidents are the calls and runs you log over a year. Training, drills, and station-detail entries don't count toward the limit.
What happens if we go over a limit?
We never cut you off mid-year. If your department consistently runs past a limit, we'll reach out about moving to the right plan at your next renewal.
Can we pay by purchase order, and is this grant-eligible?
Yes. We bill annually and provide a W-9, quotes, and purchase orders for municipal budgets and grant applications (including FEMA AFG and SAFER). Annual invoices line up with the fiscal year.
Annual or monthly?
Annual billing keeps things simple for grants and purchase orders, and it's how plans are priced above. Monthly is available if you need it, at a small premium — annual saves about two months a year.
